    Manage deposit when there is no invoice yet.

    Hi,

     I use simply accounting for my small business and I am not an accountant at all. In my business i can take reservations 12 months in advance.

     Actually, when a client reserves my service, i create a contract in order to avoid messing with the actual year's data and government taxes. Then i need to enter the deposit for that contract.

     When times comes, i need to transfer the contract into an invoice. The deposit does not seem to apply to the invoice automatically maybe because the deposit was entered months before the invoice.

     I need to cancel the deposit and create it again.

    Am I doing something wrong?

    Hi there: In order to correctly keep track of those deposits against a particular customer you need to be using the Accounts Receivable module? Are you? When you set up each customer in the A/R module, then you can record the deposits in the Receipt window on that customer's accounts. When you finally do an invoice for the job, the invoice will be done in the Sales window. It will record the full amount you are charging. Then you can go into the receipt window again and "net" the amount of the previous deposit against the invoice. If you produce a statement for that customer it will show both the invoice and the previous payment. It wouldn't matter how long between the first deposit and the final invoice. The information will be there so you know who has given you deposits, who has been invoiced and who has paid in full. Rita Deering

     Hi, thks for the reply but in fact i am using the french version of simply accounting and i am a bit confused with your explanation.
