    Downloading Bank Information

    How do you download your banking information & what happens after the download is complete.

    Hi coastalwaters,

    Simply Accounting allows you to import your online account statements to process your account reconciliations in a more efficient manner.  When you import the statement Simply accounting matches and clears transactions that are on your bank statement to transactions with the same source & for the same value as in your reconciliation.  You cannot import your statement as a means of making journal entries.

    To download your online statement go to your File menu and click Import / Export and then choose to Import Online Statements and follow the wizard through.

    Hi Kim,

    I have tried to import my saved data from Scotiabank and it appears to get imported but then nothing happens. The entries do not appear to go anywhere. I guess I'm missing a step. I would presume that there should be a reconciliation stage to match entries with accounts and such. When I go into the reconciliation window there are no entries there. Please help!

    Hello Terry,

    Have you first set up your Bank Reconciliation for this account?  By that I mean, have you entered all Prior Outstanding transactions?

    Once you import the Statement this should do two things - a Matched Transactions report should be generated and when you open the Account Reconciliation you should see the same entries cleared that were matched on the Matched Transactions report.

    I don't have a knowledge base article on Importing Online Statements at this point unforutunately but the steps in the Help menu are quite specific.

     

    To download and import online statements from a Web site:

    1. If you are working:  In the Home window, from the File menu, choose Import/Export, and then Import Online Statements.  In the Account Reconciliation window, select the account you want to reconcile. Then, choose Import Online Statements from the toolbar or Reconciliation menu.

    1. Back up your data.

    2. Follow the instructions in the Import Online Statements wizard.

    When download finishes, the wizard displays a Matched Transactions report summarizing newly downloaded transactions and indicating their reconciliation status.

    1. From the File menu, click Print to print the report. Keep it in a safe place.

    You should rename the downloaded file using Windows Explorer after you finish downloading a statement. Unless you rename it, the downloaded file will be overwritten by the next downloaded statement.

    1. In the Account Reconciliation window, clear any transactions that should have been cleared but were not matched — for example, because there was an error in a source number.

    Ideally, importing an online bank statement should work like this: 1) download the statement from the bank or better yet ask the accounting program to do so; 2) import the transactions or have the program do so automatically after the download; 3) the program should automatically link the downloaded transactions to the ones in the system and give the user the chance to accept the link, modify the link or delete the downloaded transaction.  I don’t see Simply doing all of this so I say that, in this respect, the quick competitor is kilometres above Simply.

    I've just spent hours trying to do the same thing.  Your suggestion to import the data and allow user adjustment to assign GL etc makes perfect sense.  Having the data on the screen then manually having to re-enter is truly absurd; even the most simple software allows import.

    Until Sage corrects this ridiculous oversight, does anyone have any thougths on a work-around?  (eg: a tool to strip the data out of the OFX file and import it as a stored reoccurring entries)

    The downloading bank statement feature is only for reconciliation purposes.  It is not designed to import transactions.

    Hi Kim,

    I totally agree it's an effecient manner but I find it only matches check numbers and can't seem to match any of our deposits.   Is there any "options" I can adjust or ways to make it only match the deposit amount?

     Are you recording deposit slips?  Or processing receipts only?

    Does that make a difference? I have the same problem. I record deposits in the receipt journal not the deposit slip. Also expenses that are paid by debit are not cleared automatically even though the amounts and dates are the same.

    If you send receipts directly to the bank then you will not see just one number in the bank ledger in the program but the bank statement will have only one number for each deposit.  The cheques and direct payments must have the Source in Simply the same as the source on the bank statement for it to match properly.
