    error message when trying to bring up an income statement

    "The Accounts are not in logical order, there is a missing group heading before account 5500 Detail Supplies" This is the message i get when i try to look at my financial reports. I added two new accounts, Detail Supplie and Detail Equipment, under account numbers 5500 and 5510. Is there anything i can do to fix this problem so it works?

    Delete those two accounts and redo them with numbers 5310 and 5315.  Under Account tab choose Group Account for Type and under Class Options tab choose Cost of Goods Sold for Account Class.

     

    After you add an account, while in the Accounts screen, go to File>Check validity of Accounts to ensure the order is logical.

    I went to delete the accounts, and it said "this account has been used in transactions and cannot be removed until all transactions are cleared." So i went through all of my vendor transactions, and changed the accounts to 5810 cleaning supplies, just so that i can deleted the two accounts i created. I have gone through every transaction and done this, and i still get the same message. What am i doing wrong?

    Without knowing what the other accounts are in the same area, it's hard to tell you what to do.  Basically you violated the rules of the chart of accounts.  Each group of accounts has to have an H at the top and T at the bottom.  G and A accounts can reside between the H and T but any subgroup of A accounts must be followed by an S account before a G or T account can be inserted.  If your accounts don't follow these rules, then you get the error.  Not knowing what the accounts currently are, it's hard to tell you how to fix it but you can change the number of an H, T and S account if there is room.

    BTW, you can't delete an account unless it hasn't been used in the current or previous fiscal years and it isn't being used as a linked account.

    Hi there:   I had a similar thing happen to me when the year end adjusting journal entries came back from the Accountant one year.  They had done a journal entry that included a new account that they wanted to use and they assigned a number to it.  I went ahead and opened up the new account with the number they had given it and posted the entry.   When I had entered all the year end AJE's and I went to bring up the Income Statement I got the same error.   Accounts weren't in logical order.  When I investigated the number the Accountant had assigned it was indeed not following the "rules" and I also had no room to make any adjustment to the Heading account so I was stuck!   And since I had made an entry into that new account I also could not delete it.   Fortunately I had made a backup of the year end before sending it to the Accountant, so I had to restore that and then do all my year end AJE's again, but setting up the new account with a correct number and in logical order.    I was pretty annoyed that the Accountant wasn't more careful in assigning a number since they had my Simply Accounting records and Chart of Accounts available to them.   However, I learned a valuable lesson.  Make sure to check before setting up a new account!         Rita Deering
